Beverly Hills Premiere Tour Operator is an Incentive House / Meeting Planner which specializes in bringing Incentive and/or Convention groups from other countries to the United States, Canada and Europe. Our business is to provide as much or as little service as an individual group requires. At a minimum, we would generally provide hotel rooms for the group’s stay...or we are capable of handling all aspects of the their visit, including full ground management services. We can create a complete travel package from source to return or we can provide only specific services, according to the needs of the individual client.

Our company is completely computerized so that every department (Operations, Billing, Sales, Room Acquisitions, Contracts, Communications, Legal) can communicate instantly with our clients, suppliers or other departments. We employ our own Programs Analyst and a Programming Staff; they have created custom computer programs for us which are beyond anything our competitors can access. As a result of these state-of-the-art programs, we can instantaneously access any data in our files, which are voluminous. These programs allow us to maintain effectively the thousands of contracts per year that we generate. These programs allow us to effectively monitor the millions of dollars per year which move through our companies. These programs allow us to reach our clients, over nine hundred of them, or we can communicate with over four thousand hotels all at the touch of a button.

We maintain a Room Acquisition Department whose only function is to purchase blocks of rooms, often years in advance, in anticipation of the needs of our clients. The four people who work in this department have only one job: to locate the most desirable and suitable hotels at the best possible prices and with the best possible terms. As a result of their efforts, our standing inventory is second to none, both in the quality of hotels available and in the rates we offer.

We also receive requests for events which are outside our inventory. In these cases, our ability to communicate with hotels almost immediately allows our buyers to quickly determine which hotels are available for our client. We respond to most inquiries within 24 hours. When negotiating to buy hotel rooms, one very important part of the process is to demand that all contracts with hotels permit no relocation of guests. You may be aware that it is common practice in the hotel industry to overbook hotels and to retain the option to move groups to other hotels at the last moment. This policy is unacceptable to us; we will never permit a relocation clause in any contract for any hotel rooms we purchase. We believe we are alone in this as we regularly hear stories where less sophisticated tour operators have had their groups relocated at the last moment.

Payments:

When scheduled payments are due to our Company, our computer will fax you a courtesy reminder, 15 days prior. For late payments, you will receive reminders the day after the money was due and then every week.

If payments have to be advanced on your behalf and your payment is late, Beverly Hills Premiere could apply a 10% financial charge on any late amount .Prepayments are against our policy. Beverly Hills premiere Tour Operator will advance funds if needed as a voluntary courtesy and not as a contractual obligation. Advance payments, if made at all, will be at the sole discretion of Beverly Hills Premiere.

Please do not forget that international wires can take from 3 to 6 business days to get to our bank account. To be safe, you should send a wire 4 to 5 business days prior to the due date if outside the USA and 48 hours prior when in the USA.

Rooming lists

Our computer will remind you by fax that the rooming list is due, 30 days prior to the due date (or number of days imposed by vendor and indicated to you in our first proposal) Please do not forget that the rooming list sent late could allow an hotel to cancel a block of rooms, even if all payments have been made on time.(And could also forfeit all payments done to the vendor!)

Final Invoices

When we are ready to send you a final invoice, you will receive it by fax and by normal mail, systematically.Please do consider that most hotels need about 2 months to send their final statements.

New Hotel contract signature:

As soon as a new contract is signed with an hotel, if you requested rooms for a specific convention, you will receive a memo to let you know that we added some rooms for that specific convention. You will be immediately informed of any new block without having to wait for the availability room listing.

Availability Reminders:

Every morning, our computer will check hotel availability for the convention(s) you were interested in previously and will send you a memo letting you know the new rooms which are available. This memo will be faxed for 3 times in 4 weeks only after a quotation request or optioned contract has been cancelled for that convention.

Quotations:

You can request a quotation by fax or you can obtain a quotation via FaxBack AutoQuote © In both cases, our quotation will include a description of the hotel (if available); a quality information about all the specific services (if available) of that hotel and when available, a map of the hotel and the convention center.


Last Minute Services:

As a general policy, we sell services and we cannot be put at risk by prepaying for a client due to our low margin profit. It would be bad business practice to assume 100% risk for a potential 10% profit. Sometimes during a convention, the total gross handled during 5 days is several million dollars. If the gross handled in 5 days is 7 million dollars and we are asked to advance 10% for last minute services, this means that our company must advance $700,000.00 for an average 45 days due to the fact that the final payment cannot be received by us until the final hotel statement is received and final invoice is sent to our clients.

This is why, we estimate your last minute services and we will ask for a deposit prior to the group arrival to cover the total expected expense. Any credit due to your Company will be paid immediately upon reconciliation at the end of the project.
